Archiving paper documents correctly: Tips for organisation and space-saving
Important documents such as invoices, contracts or official papers must be stored securely for years and be easy to find at any time. Systematic paper archiving protects against loss of information and optimises your workflows. Depending on the volume of documents and frequency of access, there are various strategies available to bring order to your archive.
Traditional archiving in ring binders
The most common method is filing in ring binders, which allow for simple alphabetical or subject-based sorting. To increase efficiency in large shelving systems, we recommend our coloured tab rings. By using colour coding, you can assign a colour to each subject area and significantly reduce search times in the archive. You will find everything you need for producing or repairing your folders in our folder accessories category.
Systematic file archiving: space-saving alternatives
When shelf space is running short or documents need to be accessed only rarely due to long retention periods, ring binders are often too bulky. In such cases, file clips, Filing Strips or slip-in mechanisms offer a significantly more space-saving solution. These bundle documents securely and sturdily, whilst reducing the volume to a minimum. In combination with our archiving boxes, your documents are also optimally protected from dust and light.
Frequently asked questions (FAQ) about archiving
Filing clips (or archive clips) only take up the space that the paper actually occupies. Unlike the rigid spine of a folder, this saves you up to 50% of space in the archive box or on the shelf, particularly for documents that simply need to be stored.
For frequently used files, we recommend the use of document holders or self-adhesive hole reinforcements. These stabilise the perforations and prevent heavy stacks of documents from tearing under their own weight.
Yes, we ensure that our plastics and metals are of high quality. Our systems are designed for long-term storage and will not discolour or damage the archived material when stored correctly.
